Payment and Booking Conditions 2023

  • Bookings are to be paid in full at the time of booking and are non-refundable. Equipment and resources are allocated at the time of your booking so there there will be no refunds for early returns, poor weather or non-usage
  • Changes to a booking (e.g. craft, names of participants, type of trip) will only be accepted from the original booking contact (the “designated responsible adult”), and there is a £20 administrative fee per change. The designated responsible adult will also be responsible for making all payments to Canoe Trail
  • Canoe Trail reserves the right to change craft, dates, times, and locations if required. This may include inclement weather such as high winds, flood conditions or storms.
  • Please read your joining instructions before the day of your booking. It is full of useful and relevant information to ensure you have a great experience.
  • You will incur an additional charge of £20 per hour, per craft if arriving later than the agreed end time. Please contact us as soon as possible if you are likely to be late.
  • It is the responsibility of the adult booking the activity to provide Canoe Trail with all relevant information about the participants, including medical information such as allergies, conditions, medication and existing injuries and also any special requirements at the time of booking and to update Canoe Trail of any changes before the takes place .
  • It is the responsibility of the organisation (Corporate, school, youth group etc) booking to provide Canoe Trail with all relevant information about the participants, including medical information, allergies, conditions, medication and existing injuries  and special requirements  at the time of booking and to update Canoe Trail of any changes before the takes place .
  • It is the responsibility of the parent and carer booking youth programmes such as holiday activity clubs to provide Canoe Trail with all relevant information about the participants, including medical information, allergies, conditions, medication and existing injuries  and special requirements  at the time of booking and to update Canoe Trail of any changes before the takes place .

Safety and Activities (water)

  • Kayaking, canoeing and SUP's are outdoor activities and can be physically and mentally challenging and may involve considerable exertion
  • Start and finish times are on your booking forms/ tickets and it is the customers responsibility to honour them. Customers returning late will incur a charge, as stated above.
  • For Hire, those under 21 years old must be accompanied by an adult
  • For holiday activity / youth programmes parents or carers must drop off and collect young people and children updating any medical conditions, medication, and or special requirements for the participants.
  • The possibility of injury exists within these activities and control measures and briefings are there to mitigate any risks. Participants must follow the rules and briefings provided.
  • The activities are on the water and there is a risk of getting wet and cold. Participants should dress for the weather , hot or cold with layers, footwear (that can get wet) and a change of clothes.
  • Equipment such as buoyancy aids are provided and must be worn at all times when on or by the water. Removal of kit without prior permission will put participants in danger
  • Water activities can be dangerous and there is a risk of drowning. You and members of your party must be confident in the water, wear current regulation buoyancy aids and be happy to take part in the activity.
  • Cars parking and vehicle movements are at the owner's risk and care should be taken when unloading and loading.
  • Water activities present a risk of leptospirosis (Weils disease), although rare in the UK,  participants should take care with open cuts (cover with waterproof plasters) and ingesting water and inform the doctor if flu-like symptoms develop or they feel unwell.
  • Canoe Trail does not accept responsibility for loss or damage to valuables during activities or at our sites
  • Failure to listen to instructions from our guides and instructors can increase the risk and dangers and consequently participants failing to adhere to safety briefings or our code of conduct may not be able to take part.
  • We take our environmental responsibility very seriously so please do not cause a nuisance to wild animals, litter or drop plastics, and where possible leave only ripples.
  • You don't need to be able to swim as a buoyancy aid will be provided.
  • You should be physically fit for the activity to be undertaken 
  • Canoe Trail reserves the right to refuse anyone who is deemed to be intoxicated or unsafe to take part in the activity. No refund will be given.
  • Canoe Trail has a behavioural code of conduct to ensure safe operations and failure to follow instructions from instructors to comply with briefings may result in the activities being stopped. No refunds will be given.
  • Suitable clothing for the weather is required (eg. warm weather might include hats, suncream and cooler/ wet weather might include waterproofs and layers of clothing).

Safety and Activities (land)

  • It is your (Hire and any Organisation) responsibility to make Canoe Trail aware of any medical conditions or special requirements that could prevent you or any members of your group from taking part or whether you or any members of your group requires additional support, especially if this has occurred since your booking was made online or your booking form was returned.
  • Participants may need to remove jewellery and tie hair back for certain activities to avoid snagging risks such as climbing
  • Solid footwear (covered toes) needs to be worn during range activities
  • Canoe Trail teaches bushcraft activities which may include fire lighting, knife work and carving and campfire cooking. Participants should be aware that hot work and working with sharps presents and risk and should follow instructor briefings and control measures.
  • Personal Safety equipment will be provided for activities such as helmets, harnesses and eyewear, participants will be required to wear them at all times
  • Failure to wear long trousers or sleeves may result in friction rubs from ropes and strings on bows
  • Canoe Trail reserves the right to refuse anyone who is deemed to be intoxicated or unsafe to take part in the activity. And if it becomes apparent to the instructor once the activity has started that they are under the influence of drugs or alcohol then the activity will be stopped and the customer asked to leave. No refund will be given.
  • Canoe Trail has a behavioural code of conduct to ensure safe operations and failure to follow instructions from instructors to comply with briefings may result in the activities being stopped. No refunds will be given.
  • Walking activities such as D of E expeditions are supervised from a distance and given safety parameters. Participants should take care crossing roads and at busy roads may be escorted by instructors or teachers. Participants must follow the safety briefing given.
  • When camping there is a risk of ticks and lymes disease. Participants should check for any bites and inform an instructor if any are found.
  • Suitable clothing for the weather is required (eg. warm weather might include hats, suncream and cooler/ wet weather might include waterproofs and layers of clothing).

Photo and Media Permission

Canoe Trail take photos and video from time to time at the start of hire sessions, activities, courses and trips

Media capture may include general images, video, interviews, and commentary highlighting the benefits of paddling, climbing and the great outdoors

As part of the booking terms and conditions you grant us royalty free use to share imgaes, video and other media on social media platforms such as Instagram, Facebook, Twitter as well as on our website, in print and for general markteting and promotion of outdoor activities.

Canoe Trail recognise that in some instances such as children and young people parents or carers may not provide photo consent. In this instance photos and material will not be taken or captured. Parents, carers and group leaders such as school teachers should advise us where photo consent is not granted.

Our images and media are primarily to provide fond memories of fresh air miles and time in the great outdoors
